• Account information — name, email address, and business name when you create an account or start a free trial.
• Payment information — billing details processed securely through Stripe. We do not store your full card number.
• Business data — the data your AI employees access in order to perform tasks on your behalf (e.g. email content, calendar events, invoice details). This data is processed on your dedicated, isolated server.
• Usage data — anonymised analytics about how you use our website, collected only with your consent (see Section 5).
• Communications — messages you send us via email, WhatsApp, or other channels for support purposes.

3. How we use your data

We use your personal data to:

• Provide, maintain, and improve our services.
• Configure and operate your AI employees on your behalf, using the business systems you connect.
• Process payments and manage your subscription.
• Send service-related communications (e.g. onboarding, billing, downtime alerts).
• Respond to your support requests.
• Improve our website experience through anonymised analytics (with your consent).

We do not sell your personal data to third parties. We do not use your business data to train AI models.

4. Data isolation and security

Each customer's AI workforce runs on a dedicated, isolated server. Your business data is never shared with or accessible by other customers.

• All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
• Business data is stored within European data centres.
• Access to customer data is restricted to authorised personnel on a need-to-know basis.
• We conduct regular security reviews and follow industry best practices.

5. Cookies and analytics

Our website uses PostHog for website analytics. PostHog is configured to use European servers (EU data residency) and is accessed through a reverse proxy on our domain.

We operate on an opt-in basis. No analytics cookies are set and no tracking data is collected until you explicitly accept via the cookie consent banner. If you decline, no data is collected at all.

When you accept analytics cookies, we collect:

• Pages visited and time spent on each page.
• Referral source (how you arrived at our site).
• Device type, browser, and approximate location (country level).
• Interactions with page elements (clicks, scrolls).

This data is used solely to understand how visitors use our website and to improve the experience. It is not used for advertising or shared with third parties.

You can withdraw your consent at any time by clearing your browser's local storage for our domain, which will reset the cookie consent banner.

6. Third-party services

We use the following third-party services to operate Rekeel:

• Stripe — payment processing. Stripe's privacy policy applies to payment data.
• PostHog (EU) — website analytics (opt-in only, European data residency).
• Resend — transactional email delivery.

Your AI employees may also connect to third-party services you authorise (e.g. Gmail, Xero, Google Calendar). We only access these on your behalf and with your explicit permission.

7. Data retention

We retain your account data for as long as your account is active. If you cancel your subscription, we delete your business data from your dedicated server within 30 days.

We may retain basic account information (name, email) for up to 12 months after cancellation for legal and accounting purposes, after which it is permanently deleted.

8. Your rights

Under the UK GDPR and EU GDPR, you have the right to:

• Access the personal data we hold about you.
• Rectify inaccurate or incomplete data.
• Request deletion of your personal data.
• Restrict or object to processing of your data.
• Request a portable copy of your data.
• Withdraw consent at any time (where processing is based on consent).
